No-show patients: reminders and follow-up

When an appointment is booked and the patient does not come, the chair stays empty. This article explains when and through which channel the reminder goes out, and how a patient who did not come is tracked.

A reminder is a template

An appointment is usually booked for several days ahead. By that day the 24-hour messaging window has closed, and WhatsApp carries only a template approved by Meta.

The template's text is fixed; the name, date, time and clinic name go into it. The treatment name stays out of the message.

When it goes out

You set in Settings how many hours before the appointment the reminder goes out. The default is 24 hours.

The reminder is queued in the Follow-up Inbox. Someone on the team reads it and sends it.

Patients who come from Instagram

The reminder template goes to a WhatsApp number. On the card of a patient who booked through Instagram you see this, and with one click you open the conversation on Instagram.

If you wish, MedorAI asks for the phone number once during booking. If the patient does not give it, the appointment is still booked.

Attended, no-show

Once the appointment time has passed, the Today screen asks one question: did the patient come. The answer is written to the person's record.

On the third no-show the number is blocked automatically. You lift the block whenever you like.

The decision after the examination

For a patient who came to the examination, the team answers a second question: is there a treatment decision. If there is, the treatment appointment is opened from the same screen.

A patient awaiting a decision drops into the Follow-up Inbox once the period you set is up. The default period is 7 days.

The patient who has gone quiet

In a conversation that has not turned into an appointment, MedorAI sends a single follow-up message before the 24 hours are up. If your package includes reminders and follow-up, this runs automatically.
